Executive Assistant
Overview/Purpose:
The Executive Assistant provides a full range of administrative support to the Sheen Center Staff, supporting the efficient operation of a busy non-profit arts venue in NOHO/the East Village and ensuring all renters have a positive experience in our space.

Responsibilities:
- Provide administrative support to the Executive Director to ensure efficient office operations.
- Assist Director of Programming with studio and theater rental communication, coordination, and logistics.
- Assist the Managing Director with monthly bank reconciliation.
- Maintain physical and digital filing systems.
- Prepare meeting agendas and take meeting minutes for Board of Directors and Staff meetings. Coordinate logistics for meetings, including room setup and catering.
- Operate and maintain office equipment, including printers, copiers, and fax machines.
- Research, compile, and summarize complex information for reports or presentations.
- Work with maintenance staff and outside vendors to ensure office equipment is in good working order and office supplies are always on hand.
- Work in coordination with the Archdiocesan departments such as Finance, Human Resources, and the Cardinal’s Office.
- Assist in other departments throughout the Sheen Center such as Production, Patron Services, and with Front Desk coverage.
- Represent the Sheen Center in a professional and welcoming way.
- Execute all assigned tasks with a positive mindset, under minimal supervision, and possess the initiative to seek out ways to improve office efficiency.
- Comfortably and confidently communicate in person, by phone, and by email with artist and industry professionals.
Education, Experience, and Skills:
- A Bachelor’s Degree or at least four years’ experience in a non-profit administration.
- Proficient in Microsoft Suite and Google Suite.
- Must be organized, detail-oriented, highly motivated, adaptable, and a self-starter with an ability to work independently and carry out multiple tasks concurrently.
- Have an interest in performing arts administration, specifically programming and producing.
- Adept at determining when to address issues independently and when to seek further guidance.
- Maintain confidentiality when handling sensitive information.
- Have developing or working knowledge of the New York performing arts landscape.
- Keen attention to detail in receiving information from multiple sources, prioritizing tasks, and disseminating data to relevant parties.
- Strong communication skills with a wide range of individuals both within and outside the organization, facilitating project progress in support of institutional and artistic goals.
- Ability to work nights and weekends as required.
Compensation range for this position is: $30.22 - $32.97 per hour. This position is considered full-time, non-exempt, and eligible for overtime.

Temporary On-Call Box Office Manager
Overview/Purpose:
The Sheen Center On-Call Box Office Manager (Jan-May) serves as a key player on the Sheen Center front of house team. This position supports the Patron Services Manager at the Sheen Center as the primary ticketing contact for key renters at our venue for the spring season. Through stellar, prompt service, this role will ensure that both our clients and patrons have a singular experience with our venue.

Responsibilities:
- Ticketing
- Manage sales including comp ticket requests, allocations, group sales, etc. for large scale rental clients.
- Communication
- Calmly and confidently interface directly with rental clients who are using our box office services, as well as Sheen Center patrons, ensuring we are providing both with an equitable, first-class customer experience.
- Handle special requests from the Patron Services Manager, renter, and other key stakeholders in a timely manner.
- Technology & Reporting
- Adeptly navigate Audienceview Professional Ticketing Platform, Airtable, and our additional booking systems (i.e. Goldstar, TDF).
- Support Patron Services Manager with weekly ticketing reporting documents to client and internal teams.
- During Performances
- Have a working knowledge of The Sheen Center’s performances, policies, and services.
- Arrive 2 hours before performance start time to manage any final bookings, print tickets/attendance lists, and set up scanners/manual check-in before house opens.
- Perform all tasks at the Will Call desk including distributing tickets, processing in-person sales, and monitoring all inquiries from patrons.
- Communicate with all Sheen Center and/or Client Staff, to ensure the best experience for the audience.
- Monitor and reconcile all cash box and donation boxes at the end of shift in conjunction with one other Sheen Center staff.
- If necessary, be available for 30-45 minutes after a performance ends to receive online donations and sell discounted tickets to patrons on their way out.
Education, Experience, and Skills:
- Experience with AudienceView Professional.
- Excellent customer service, communication skills & phone etiquette.
- Strong attention to detail.
- Accurate keyboarding skills.
- Ability to learn and use a variety of technical systems.
- Ability to handle financial transactions and make changes.
- Ability to work efficiently with little or no supervision.
- Ability to remain pleasant during challenging situations.
- Some weekend availability.
Compensation range for this position is: $20.00 - $22.00 per hour. This position is considered temporary on-call, non-exempt, and eligible for overtime.
